Triggers decide when, actions decide what.

Start with a trigger: a record change, a scheduled event, a manual button or an external activity. Then define the actions: updating records, sending messages or broadcasting information to external sources.

A candidate status change starts a workflow. A condition selects the next steps: update the record and create an interview task.

What people ask about automation.

Can an automation message a candidate on its own?

Not by default. Unless given the permission to do so, Simply merely prepares messages to be sent as a proposal that the user can approve. If desired, Simply can be given elevated permissions so that it can send messages autonomously.

Can we build message sequences?

A fully native message sequences system is something we have on our roadmap. For now, similar results can be achieved by building workflow automations.

What happens if a workflow fails halfway through?

It resumes. Completed steps stay completed and the run continues from where it stopped as soon as the system is back, so nothing gets created twice. Failed steps retry, and the run history shows you exactly what happened.

Can a workflow act on systems outside Simply?

Yes, systems outside of Simply can trigger workflows by using a webhook. For example, when a candidate applies to a vacancy on your website, this could send a webhook to Simply containing their details and CV. At the same time, Simply can also send HTTP requests to outside sources as an action. For example, submitting a vacancy for publishing to your website.

Does automation need an AI key?

For the most part it doesn’t. Most of the automation components are logic based, and therefore don’t need any AI in the process. However, there is a specific "AI intelligence" building block, which allows you to use AI in your workflow for any reasoning, and this requires a working AI key. Furthermore, using Simply to help you build workflows requires a valid AI key too.
